Episode of care

What is an episode of care ?

Episodes of care were created to have multiple ongoing interdisciplinary follow-ups in a patient's chart, within the same clinic. Therapists can create their own follow-up and archive it once the treatment plan is complete, without affecting the work done by their colleagues. You may have multiple acute episodes of care on file for the same patient.


For example, a patient may have both massage therapy and physiotherapy treatment. The episodes of care are therefore there to differentiate the notes of these two treatments by two different therapists.




How do I create a new care episode ?

From the Clients section on the left, search for the patient in question.

  1. Open the patient file
  2. Click on the Charting tab
  3. Click on the (+) in the header (located between the patient record tabs and the Activities block)

  1. In the Reason for consultation field, enter the title of the episode of care
  2. Enter the start date of the episode of care
  3. Complete the other fields, if desired
  4. Click on Save Changes

The episode of care will be positioned in the header and can be viewed by all clinic employees.






How to consult an episode of care ?

From the Clients section on the left, search for the patient in question.

  1. Open the patient file
  2. Click on the Charting tab
  3. Click on the episode of care title in the header (located between the patient record tabs and the Activities block)
  4. The items contained in the care episode will be displayed


How to modify a care episode?

From the Clients section on the left, search for the patient in question.

  1. Open the patient file
  2. Click on the Charting tab
  3. Click on the pencil icon while hovering your cursor over the care episode tab
  4. From the Edit Episode of care window edit the care episode information
  5. Click on Save Changes

How do I move a note from one treatment episode to another ?

From the Clients section on the left, search for the patient in question.

  1. Open the patient file
  2. Click on the Charting tab
  3. Click on the title of the episode of care where the current note is found
  4. Click on the note to be moved to open it
  5. Click on the Actions drop-down menu
  6. Click on Transfer/Duplicate
  7. In the Move to drop-down menu, select the care episode in which the note should be moved
  8. Click Transfer. If the care episode you want does not appear in the drop-down menu for this purpose, check if the care episode in question has been created before moving the note. To validate, return to the Charting tab of the patient file.

Note: This feature is particularly useful if you created your note in an episode of care of one of your colleagues or in an episode of care that should have been archived.




How do I archive a care episode ?

From the Clients section on the left, search for the patient in question.

  1. Open the patient file
  2. Click on the Charting tab
  3. Click on the title of the episode of care to archive
    1. Click on the pencil icon while hovering your cursor over the episode of care tab


  1. From the Edit Episode of care window check if the care episode information is correct
  2. Click on the Give Discharge button. A new window will open.


  1. Choose one of the three available options and add a remark
  2. Click on Save Changes
    1. Archived episodes can be viewed at any time from the “Archives” tab.

      Note: No element can be added, removed or modified from an episode of care when it is archived.




How to restore a care episode ?

If the patient returns with the same issue, you can restore a previously archived episode.

From the Clients section on the left, search for the patient in question.

  1. Open the patient file
  2. Click on the Archives tab
  3. Click the pencil icon next to the title of the care episode you want to unarchive
  4. Via the Edit episode of care window, click on the Restore button
  5. The care episode will move to the Charting tab and you can continue tracking



How do I view an archived care episode?

From the Clients section on the left, search for the patient in question.

  1. Open the patient file
  2. Click on the Archives tab
  3. Click on the title of the episode of care you want to consult
  4. The items contained in the episode of care will be displayed
