What is the waiting list?
A waiting list is the order in which patients waiting for an appointment are prioritized. For example, if the clinic is overwhelmed and only has availability in a few months, the clinic may put you on the waiting list. If there is a cancellation, the clinic will be able to replace the appointment with that of a patient on the waiting list.
You will find the following options:
- Availability: Select this filter to display the list of patients available during a certain period of time.
- Priorities: Display requests by priority.
- Requests types: Display requests by type. These requests are configured in My Clinic > Tags.
- Services: Display requests by requested services.
- Employees: Display requests by employees.
- Find a patient: Enter the name of a patient to search.
- Filter: Click on this button when you have checked certain filters.
- Active Requests: Displays all requests in progress.
- Completed requests: Displays all completed requests from the waiting list (when you have set an appointment from the waiting list on a therapist's schedule).
- Expired requests: Displays expired requests (Requests that could not be placed on a therapist's schedule).
- + : Create a new waiting list request.
How to add an appointment request to the waiting list?
Here are the steps to add an appointment request to the waitlist:
- Click on Schedules from the left menu
- Click on Waiting List
- Click on the + at the top right
- Find a patient or Enter the information of the new patient
- Fill in the desired fields
- Click on Save
How to add an appointment from the waiting list to the schedule?
After canceling a scheduled appointment, you can easily replace it with an appointment to place on the waiting list.
To do this :
- Click on Schedules from the left menu
- Click on Employees
- Click on the appointment to cancel/delete
- Cancel/delete this appointment
- When you see the Appointment Requests window appear, select an appointment from the waiting list
- Click on Set appointment
- Select the right billing episode
- Click on Save
Note: If the Appointment requests window does not appear after canceling/deleting an appointment, there is no appointment request corresponding to this date in your waiting list.
How do I book an appointment for the scheduled waiting list?
In the previous section How to add an appointment from the waiting list to the schedule?, just click on the bottom left of the window to reserve the place of the appointment previously cancel/delete.
This will book the appointment for the waitlist, and it should appear clearly as below:
Then, you can quickly edit the appointment to either place a request from the waiting list by clicking on View the waiting list at the bottom left of the editing window, or to modify or delete this appointment to book.
