Externals calendars
This integration allows you to synchronize your Medexa schedule with an external calendar (such as Google calendar) in order to have appointments there.
Procedure for Google Agenda :
Subscribe to your external calendar:
- Go to My clinic.
- Click on the Integrations tab.
- Click on the External calendars section on the left of the screen (Note: Subject to access rights).

Note: If you do not wish to share personally identifiable information, remember to check this option before subscribing to the calendar. If you have already subscribed: unsubscribe and subscribe again to start again on a correctly configured calendar otherwise the old appointments will not be affected!

- Select the employee of your choice.
- Enter the Google email of the account with which you want to synchronize your Medexa schedule.
- Click on Subscribe.
Note: If you grant access to the External Calendars integration in the My Clinic section. Each employee from his account can configure his external calendar as presented above. In a section named External Calendar.
Access the synchronized calendar:
- Log in to your Google calendar with the account linked to the previously registered email.
- In the menu on the left, next to Other calendars.
- Click on + (Section All other calendars).
Click on Subscribe to the calendar.

In the Add an agenda field, enter the identifier displayed in Medexa (a copy button is available to the right of the identifier to facilitate copying) and press Enter to validate your entry.

Once the calendar has been added, it is displayed on the left side of your screen in the Other calendars section. You may need to refresh your page to see the calendar named with the format: "clinic name - employee name".

Unsubscribe from your external calendar:
- Go to My clinic.
- Click on the Integrations tab.
- Click on the External calendars section on the left of the screen (Note: Subject to access rights).
- Select the employee of your choice.
- Section Google
- Click on Unsubscribe
- The external calendar should no longer appear in your calendars on the linked account.
Procedure for Outlook Calendar
Step 1: Unsubscribe from your external calendar
- Go to My Clinic.
- Click on the Integrations tab.
- Select External Calendars on the left-hand side of the screen. (Note: Access rights required)
- Choose the desired employee.
- Under the Outlook section, click Unsubscribe.
- The external calendar should no longer appear in your Outlook account’s calendars.
Step 2: Delete the old calendar in Outlook
- Go to Outlook.com and log in to your account.
- Switch to the Calendar view by clicking the 📅 icon in the left sidebar.
- In the left navigation pane, locate the calendar you want to delete.
- Right-click on the calendar name.
- Select Delete or Remove from the context menu.
- A confirmation dialog will appear — confirm the deletion.
Step 3: Subscribe to your external calendar
- Go to My Clinic.
- Click on the Integrations tab.
- Select External Calendars on the left-hand side of the screen. (Note: Access rights required)
- Under the Outlook section, check the option to hide personal identifiable information if you wish to keep this data private.
- If you are already subscribed, please unsubscribe and subscribe again to properly refresh the connection — otherwise, older appointments will not be updated.
- Choose the desired employee.
- Enter the Outlook email address associated with the account you wish to synchronize with your Medexa schedule.
- Click Subscribe.

Note:
If access rights to the External Calendars integration are granted in the My Clinic section, each employee can configure their own external calendar from their account under External Calendars.
Access the synchronized calendar
- Log in to your Outlook calendar using the email address you entered previously.
- Check your Inbox (including Junk Mail) — an invitation to subscribe to your calendar will have been sent.
- Click the Accept button in the email.
Note:
- If you do not receive the email, check your Junk Mail folder.
- It may take some time to receive the email — please be patient. If after 24 hours you still haven’t received it, contact support.
- Once you’ve accepted the subscription invitation, you may need to refresh your page to see the new calendar.
- Outlook.com updates your calendar periodically. This process can take more than 24 hours, though updates typically occur every 3 hours.
- Please note: the display of appointments in the calendar may take anywhere from a few minutes to several days — this delay is outside of our control. Thank you for your patience if the events do not appear immediately.
Unsubscribe from your external calendar
- Go to My Clinic.
- Click on the Integrations tab.
- Select External Calendars on the left-hand side. (Note: Access rights required)
- Choose the desired employee.
- Under the Outlook section, click Unsubscribe.
- The external calendar should no longer appear in your Outlook account.
If you want each employee or user to manage their own Outlook calendar integration:
- Go to My Account (top-right corner).
- Select your name.
- Click External Calendar in the left menu.
Enter your Outlook email address and follow the on-screen instructions.
Important: Before proceeding, make sure to delete any existing calendar.
