What is a service ?

Services are care offered to a target clientele. For example, these services may be therapeutic treatment, mental health care or nursing care. These care or treatments are measures applied by a health professional to a person who is suffering, in order to help them heal or relieve their symptoms.


Hot to set up a service ?

To create new services, follow these steps:

Go to My Clinic

Click on Services

Click on Services list

Click on the + to the right

Fill in the following fields according to the service to be registered and Save changes when finished


Explanations of the fields to be completed

Informations

Title

Enter the term used internally for this service.

Abbreviations, medical terms or service numbers may be used.

For example: Physio - Eval

Display name

Enter the recognized official term for this service.

This term will be displayed on your invoices, receipts and online appointment booking, so it is important that it is recognized by your patients and insurance companies to facilitate reimbursements.

For example: Physiotherapy evaluation.

Description

If desired, you can enter a description or details related to the service.

This field is not required. The text added in this field will be visible on your invoices and receipts, and will also appear on the online appointment booking module.

Profession

You can assign a profession to this service using the drop-down menu.

Appointment Color

You can assign an appointment color to distinguish appointments of the same type on a therapist's schedule at a glance. To do this, select the color of your choice from the drop-down menu.

If you do not find the color you are looking for: it is possible to add one directly by clicking on "Add an appointment color" in the drop-down menu. In this case, two options will appear to enter the title and select the color of your choice. When saving the service, the appointment color will be created and will be available in the list of colors.

Price

Enter the price of the service. (Enter the price excluding tax if the service is taxable).

The price is for the service and does not take into consideration the duration of the service. It can be modified in the information of the appointment and the invoice. It can be configured by therapists.

In order for your therapists to be able to configure the price of their service, you can follow the following instructions:

  1. Click on My clinic
  2. Click on Services
  3. Click on Assign services
  4. Click on the service point in question
  5. Click on the name of the therapist
  6. Click on service
  7. Set the price of the service
  8. Click on Save

Duration (min)

Enter the expected duration of the service.

The duration of a service has no impact on manual appointment scheduling. This implies that you can assign the desired duration for any appointment added to the schedule. The duration of the service entered in this field is entered only on appointments set from the online appointment booking module. It does not affect its price. So if you double the duration of an appointment, the price will not automatically adjust.

The duration of a service can be configured by a therapist. For this, you have to enter the most frequent duration among your therapists and then go to configure the duration of the therapists who takes more or less time for the service from:

  1. Click on My clinic
  2. Click on Services
  3. Click on Assign services
  4. Click on the service point in question
  5. Click on the name of the therapist
  6. Click on service
  7. Configure service duration
  8. Click on Save

Change the price of the service for appointments already present in the schedule from a specific date

Checking this box allows you to modify the price of the service for the appointments already present in the schedule from the date selectable from the date field that will be displayed to you. When you save the service, the prices will be modified taking into account the price configurations of the service and the configurations personalized by therapists (if applicable).

Home service

Check this box if the service is provided at the patient's home.

This configuration ensures that the clinic address (address configured in the point of service) does not appear in the appointment reminders sent to the patient for this service.

Telehealth service (requires telehealth module)

Check this box if this service is a virtual consultation.

This setting ensures that the clinic address (address configured in the point of service) will not appear in the appointment reminders sent to the patient.

A teleconsultation link will be present in the appointment reminder, and the therapist can send this link from the "appointment status" window of the therapist's schedule.

This setting also allows therapists to access the teleconsultation from the notification icon at the top of the platform.

Evaluation

Check this box when the service is considered an assessment.

This configuration records data related to appointments scheduled with this service. This data is recorded in the business analysis report (Left menu > Reports > Business analysis report).

Private

Check this box if the service is considered private.

This configuration records data related to appointments scheduled with this service. This data is counted in the Business Analysis Report (Management > Reports > Business Analysis Report).

Taxable

Check this box if the service is taxable. For your services to be taxable, you must set up your clinic's tax numbers.

To do this:

  1. Click on My Clinic
  2. Click on Service points
  3. Go to the Tax section
  4. Enter the taxes for your province

Online booking

Can be booked online

Check this box if this service can be booked from online booking.

We advise clinics to set up services correctly. This will save you from having to go back to all your services when you put your online booking module in place.

Credit card required to book online (Optional)

Check this box if this service requires a credit card to make the online booking.

This option is only available if you have activated online booking and configured online payment terminals for the service points available online.

Service availability

Select a service availability if it can be booked through online appointment scheduling.

This parameter is used to indicate whether the service is available for:

  • First appointments only (e.g. physiotherapy assessment)
  • Appointments following the first appointment (e.g. physiotherapy treatment)
  • All appointments (e.g.: 60 min massage)

Description

If desired, you can enter a description or details related to the service specific to online appointment booking.


Automatic form submission

In this section, you can associate up to two Health Summary type forms that will be automatically sent when making an appointment. To do this, follow these steps:

  1. Click on the + on the right of the window
  2. The list of health checks available in your clinic is displayed, and you can select the one of your choice, click on Select
  3. The name of the selected form is displayed in this section (To select a second form, repeat steps 1 and 2).

You can delete your selection at any time by clicking on the - button of the form of your choice.

Billing

Automatic third-party payer (Optional)

When an invoice is created for this service, the payer is automatically selected as third-party payer. Be sure to select the third-party payer of your choice from the drop-down menu to properly use this feature

Shared automatic billing (Optional)

Prerequisites: activated the Automatic third-party payer option in order to be able to use this feature

When an invoice is created for this service, the invoice will automatically be split into sub-invoices. The first sub-invoice will be assigned to the third-party payer with the following configuration. The second sub-bill will be assigned to the patient along with the rest.

If you activate this feature, you will be offered two choices to split the invoice into sub-invoices by: Amount or Percentage (this parameter will be used to create the sub-invoice assigned to the third-party payer).


CNESST

If the service is a CNESST service (in Quebec only), complete the following two fields:

  1. Select the type of service (Physiotherapy or Occupational Therapy) by checking the corresponding box
  2. Select the appropriate attendance code according to the registered service
  • H: Home assessment including treatment
  • I: Assessment including treatment
  • P: Presence at a treatment
  • U: Initial assessment without treatment
  • 3: Initial assessment without home treatment
  • 4: Treatment following a change of provider
  • 5: New prescription for more than 3 treatments per week
