Episodes of Care

You can have many active Episodes of care in the Charting section of a Patient’s record. 
This allows you to have several interdisciplinary follow-ups simultaneously in the Patient’s record within the same clinic.
Therefore, the therapists cant create their own Episode of care and discharge it once the treatment plan is completed without affecting the work done by their colleagues.


To create a new Episode of care

From the “Clients” section on the left menu, select the patient.

  1. Open the Patient's record
  2. Click on the "Charting" tab
  3. Click on the “+” on the header (located in between the tabs of the patient’s record and the “Activities” section
  4. On the field "Name", type in the title of the episode of care
  5. Enter the starting date of the episode of care
  6. Fill in the other fields, if desired
  7. Click on Save Changes

The episode of care will be displayed on the header and can be consulted by all the employees of the clinic.


To consult an episode of care

From the “Clients” section on the left menu, look for the patient in question.

  1. Open the patient's record
  2. Click on the "Charting" tab
  3. Click on the episode of care's title on the header (located in between the tabs of the patient's record and the "Activities" section
  4. The elements contained in the episode of care will be displayed

To edit an episode of care


From the “Clients” section on the left menu, look for the patient in question.

  1. Open the patient's record
  2. Click on the "Charting" tab
  3. Click on the episode of care's title to be edited
  4. Click on the dropdown menu "Actions" and select the option "Edit" OR 
    Click on the pencil icon passing the cursor over the episode of care's tab
  5. From the window "Edit an episode of care" you can modify the information related to the episode of care
  6. Click on Save Changes

To move a note from one episode of care to another

Via the “Clients” section located on the left menu, look for the patient in question.

  1. Open the patient’s file
  2. Click on the “Charting” tab
  3. Click on the Episode of Care’s title where you currently can find the note
  4. Click on the note to be moved and open it
  5. Click on the dropdown menu “Actions”
  6. Click on “Move”
  7. Click on the dropdown menu “Move to”
  8. Select the episode of care where you want the note to be moved to
  9. Click on “Save”
  • If the episode of care desired is not displaying on the dropdown menu, verify if the episode of care in question had been created before trying to move the note. To validate, go back to the “Charting” tab on the patient’s file.

Note: This functionality is particularity useful if you have created your note in one of your colleague’s episodes of care or in an episode of care that has to be archived. 


To consult an archived episode of care

From the “Clients” section on the left menu, select the patient.

  1. Open the patient’s record
  2. Click on the “Archives” tab
  3. Click on the episode of care’s title that you would like to consult
  4. The elements contained in the episode of care will be displayed

To archive an episode of care

From the “Clients” section on the left menu, look for the patient in question.

  1. Open the patient's record
  2. Click on the "Charting" tab
  3. Click on the episode of care's title to be edited
  4. Click on the dropdown menu "Actions" and select the option "Edit" OR
    Click on the pencil icon passing the cursor on the episode of care's tab
  5. From the window "Edit an episode of care" check if the information related to the episode of care is correct
  6. Click the button "Archive"
  • The archived episodes of care can be consulted at any time from the "Archives" tab

Note: Any element can’t be added, removed or edited from an episode of care once this one is archived.


To restore an episode of care

If the patient comes back for the same problem, you can make a request to un-archive an episode previously archived.

From the section “Clients” to the left, look for the patient in question.

  1. Open the patient’s file
  2. Click on the “Archives” tab
  3. Click on the pencil’s icon next to the episode of care’s title that you wish to un-archive
  4. From the window “Edit the episode of care”, click on the “Restore” button
  5. The episode of care will be moved to the "Charting" tab and you can continue the follow-up.
